Read it carefully before installing or using this application. -------- System Requirements -------- Computer: Windows-compatible machine CPU: 2.5 GHz quad-core CPU or higher Main memory: 8 GB or higher Note: Memory requirements might be higher when several applications run at the same time. Hard disk: 3 GB or more (Program area) Free space of at least 10 GB is recommended. Monitor: 1280 x 1024 pixels or greater recommended (minimum 1280 x 768 pixels) 16.7 million colors or more recommended (minimum 64000 colors) Operating System: Windows 10 Pro/Enterprise (64-bit) Windows 11 Pro/Enterprise (64-bit) Windows Server 2016 Standard (64-bit) Windows Server 2019 Standard/Essentials (64-bit) Windows Server 2022 Standard (64-bit) Note: Windows 11 Pro/Enterprise and its updates are supported as long as Microsoft provides mainstream support. Supported Languages: Dutch, English, French, German, Italian, Spanish Network: - Ethernet LAN adapter (at least 100 Mbps, wired LAN recommended) - TCP/IP protocol (IPv4, IPv6) Associated Applications: When using the following types of files, install the necessary external application before setting up this application. * Microsoft Office (Word/Excel/PowerPoint) files - Adobe Acrobat 8 Standard/Professional, Adobe Acrobat 9 Standard/Pro, Adobe Acrobat X Standard/Pro, Adobe Acrobat XI Standard/Pro, Adobe Acrobat DC, Adobe Acrobat 2017 Standard/Pro, Adobe Acrobat 2020 Pro (Adobe PDF Driver must be installed.) - Microsoft Word 2007 SP3/2010 SP1/2013/2016/2019/Office 365 - Microsoft Excel 2007 SP3/2010 SP1/2013/2016/2019/Office 365 - Microsoft PowerPoint 2007 SP3/2010 SP1/2013/2016/2019/Office 365 Notes: - Microsoft Office Trial version is not supported. - Microsoft Office applications installed with the Click-to-Run feature are not currently supported. * PS/EPS files - Adobe Acrobat 8 Standard/Professional, Adobe Acrobat 9 Standard/Pro, Adobe Acrobat X Standard/Pro, Adobe Acrobat XI Standard/Pro, Adobe Acrobat DC, Adobe Acrobat 2017 Standard/Pro, Adobe Acrobat 2020 Pro For PDF editing, you can register external PDF editing applications such as Adobe Acrobat. For image editing, you can register external image editing applications such as Adobe Photoshop and Adobe Photoshop Elements. A web browser must be installed in order to view the HTML documentation. The recommended browser is the most recent version of Mozilla Firefox. To use the browser version of TotalFlow Prep, one of the following web browsers is required: On Microsoft Windows: - Microsoft Edge - 129.0.2792.52 (64-bit) - Google Chrome - 129.0.6668.71 (64-bit) - Mozilla Firefox - 130.0.1 (64-bit) Note: The Mozilla Firefox, Google Chrome, and Microsoft Edge versions listed above are the latest versions tested with TotalFlow Prep. You can also use the previous two versions of these browsers. -------- Supported Devices -------- For the full list of supported devices and specific device information, see the Printer Connector Readme, located under [Start] → [All apps] → [RICOH TotalFlow Prep]. The procedure for accessing the file might differ according to the operating system. -------- Notes on Devices -------- - With the EFI Fiery controller option, if the printer configuration error is displayed and you cannot configure the finishing device for stapling or punching holes, for example, it means that the device information cannot be obtained from the EFI Fiery controller. You must reboot the EFI Fiery controller. - TotalFlow Prep does not support the following functions: * Set a password of a stored document for the Document Server * Select a Collate Type - If some pages are combined and reduced, narrow lines might not be printed. - If the EFI Fiery controller option of the printer is changed after the printer is added in this application, the error message "The printer status is unknown.(101058)" is displayed. If you want to change the EFI Fiery controller option of the printer, you must add a different printer or delete that printer from this application and add it again. - If the printer assigned to a workflow is changed in RICOH TotalFlow Production Manager™ after the workflow is registered in TotalFlow Prep, the error message "The printer status is unknown.(101058)" might be displayed. Delete the corresponding TotalFlow Prep printer and add it again. - When a job with mixed paper size is set as duplex, the print direction on the back of the paper might differ from the output page. The same problem might occur when a stapling exception is also specified. Rotate the page using the [Rotate tool] to correct the output. - The device cannot staple or punch along the long edge of the sheet when the sheet can be fed only in the short-edge-feed. - The Cover/Designation/Slip/Separation Sheet from the tray paper settings in the printer configuration These settings must be set to [Off] in the printer configuration. Otherwise, the cover, designation, or slip sheets are not inserted. The specific procedure depends on the printer model. See the printer documentation for more information. - Interposer Tray, Interposer Upper Tray, or Interposer Lower Tray are not selected with [Auto tray select] Select these trays manually instead of using [Auto tray select]. - In the following devices with EFI Fiery controller option, the transparency paper type cannot be used by TotalFlow Prep. * RICOH Aficio MP C6501 * RICOH Aficio MP C7501 * RICOH Pro C5100S/C5110S - In the following devices with EFI Fiery controller option, the transparency paper type or the translucent setting for opacity cannot be used by TotalFlow Prep. * RICOH Pro 8100S/8110S/8120S - Depending on the type of the Large Capacity Tray (LCT), TotalFlow Prep allows a certain paper type to be used in LCT when it is not allowed from a printer. Select the paper types for LCT from the printer configuration. - With EFI Fiery controllers, "Auto paper select" does not match the paper as it refers to the manual paper. - When a PostScript printer without EFI Fiery controller is created, DevCaps displays the IMSS media catalog after a short delay. If the paper catalog is not received from the printer, check the printer status, wait 5 minutes, and then use "Update Printer Information". -------- Notes on Installing/Uninstalling TotalFlow Prep -------- - To uninstall this application from your computer you must have administrator privileges. Make sure that you use the same account that was used when the application was installed. - At the end of the uninstall process, a message appears prompting you to restart the computer. This step is especially important if you plan to reinstall the application. - Do not place any user data in the destination folder where you install this application. The data might be removed when you cancel the installation or uninstall the application. - To update the Windows operating system version of the computer where this application is installed, follow these steps: (1) Back up all the necessary job data and settings. (2) Uninstall this application. (3) Update the version of the operating system. (4) Install this application. (5) Restore the necessary data. - Do not run the update patch installation from a folder with the name ending with the "!" character. - The TotalFlow Prep installer also automatically installs the Printer Connector component which facilitates printer communication. - If you delete the "app" folder of this application and then perform an overwrite installation, you need to go to \app (example: C:\Program Files\RICOH\TotalFlow Prep\app) and restore the folder permissions for the "app" folder. Follow this procedure: (1) Right-click the "app" folder and select [Properties].   (2) On the [Security] tab, click the [Edit] button.   (3) In [Group or user names], click [Users].   (4) In [Permissions for Users], select the [Allow] check box next to [Full control] to give full control to the users selected in step 3.   (5) Click [OK]. -------- Notes on TotalFlow Prep Installation Conflicts -------- - You might encounter an issue with the installation if you try to install TotalFlow Prep on a computer that is running Trend Micro Maximum Security Antivirus. The antivirus software might identify the TotalFlow Prep installer as a suspicious program and abort the installation. If this occurs, you can use one of these solutions to install TotalFlow Prep: (1) Exit the Trend Micro Maximum Security utility before running the TotalFlow Prep installer. Restart the antivirus software after the TotalFlow Prep installation is complete. (2) Disable your network connection before running the TotalFlow Prep installer. This prevents your server from accessing the Internet. Enable your network connection after the TotalFlow Prep installation is complete. (3) After unzipping the TotalFlow Prep install package, open the Trend Micro Maximum Security console. In the [Device] tab, click [Configure] for [Security Settings]. Click [Exception Lists] and browse to the full path of the TotalFlow Prep Setup.exe file. Click [OK] to add the Setup.exe file to the exception list. After exiting the Trend Micro Maximum Security console, launch the TotalFlow Prep installer. -------- Notes on Scanning -------- - Before installing the TWAIN driver on Windows Server 2012 R2, install the Desktop Experience feature from Server Manager. - For Windows Server 2016 and Windows Server 2019, make sure that the Desktop Experience version of the operating system is installed before installing the TWAIN driver. -------- Notes on Input Data -------- - When a job is created from a Microsoft Office document, this application imports the output of Adobe Distiller directly. - If the document is not converted correctly by Adobe Distiller, the input received by this application is incorrect. You can try to convert the original document to PDF in Microsoft Office using a feature such as PDFMaker before submitting it to this application. - Supported PDF file * This application supports PDF files that are created using: - Genuine applications by Adobe Systems PDF version 1.3 - 1.7 - The scanner function provided by the manufacturer of the devices listed in the "Supported Devices" section If you use a PDF file that was not created using the applications or devices specified above, the file might not be imported into this application or some functions of this application might not be available. * This application does not support PDF files that include XFA forms created using an application such as Adobe LiveCycle Designer. Before importing a PDF file into this application, convert the file so that it does not contain XFA forms. For example, you can remove the XFA forms by using Adobe Distiller to convert PDF to PDF. - If the PDF file is created with Adobe Illustrator, the preview of the file might be shifted incorrectly. To fix the problem, you can try to save the data as a new PDF with the [Save as] option in this application. Then, you can create the job from the saved PDF file. - When you create a PDF file, make sure that the option for printing annotations is set to [No]. -------- Notes on Hot Folders -------- - The files placed in the hot folder are removed after the application processes them. Make a copy of the files that you want to save before you place them in the hot folder. - If you want to delete from the disk a folder that is defined as hot folder, you must first remove the associated hot folder settings from this application. Otherwise, the application recreates the folder the next time it polls for jobs. - A fatal error can occur when a hot folder and a job have conflicting settings. If a fatal error occurs after a job is dropped in a hot folder, reopen the job in TotalFlow Prep using the same printer as the hot folder. A job settings conflict dialog appears and lists the conflicting job settings. -------- Notes on Tabs -------- - Unused tab ejection to the unused tab tray only works with Fiery JDF. For tab ejection to function: - Make sure that the [Apply settings to PDF and remove from job ticket] check box is not selected in the [Job Setup] panel. - You can print on the tab ear using the options available on the [Edit Tabs] screen. However, if you want to use the tab ejection functionality, you can only print text and not images. - You cannot use the tab ejection functionality if the job has converted tabs. Additionally, follow this procedure to activate the tab ejection feature on the Fiery controller: -Edit X:\EFI\server\system32\configuration.txt, where X is the drive where the controller is installed, and change [RuleFile] AutoCreate=0 to [RuleFile] AutoCreate=1. -Save the file. -Reboot the Fiery controller. - When the target printer is PostScript, the unused tabs are ejected immediately after the job in the job output tray. When the job is stapled, the unused tabs are stapled together with the rest of the job. To prevent the unused tabs from being stapled, apply a staple subset to all the job sheets instead of using job level staple settings. - For best results when you print text on the tab ears, make sure that the printer language is set to [PostScript] for printers with EFI Fiery controllers. - When you print text on the tab ears of inserted tab stock while the [Apply settings to PDF and remove from job ticket] check box is not selected, make sure that the fonts used for the tab text are available on the printer. - For best results, make sure that the number of tab stock sheets defined in TotalFlow Prep matches the tab stock settings on the printer. - You can use paper up to 13 inches in height as tab stock. -------- Notes on Fold Options -------- - For printers with EFI Fiery controllers, you must follow these steps to set half-fold finishing: (1) Open the [Finishing] panel. (2) Under [Fold], select [Half Fold] or [Half Fold (multi-sheet)]. (3) Under [Output Tray], select [Folding Unit Tray], [Finisher Booklet Tray], or [Booklet Processor Tray]. If the printer language is set to [PDF/JDF], the sheets are always folded together into a set rather than individually, regardless of whether you select [Half Fold] or [Half Fold (multi-sheet)]. - Any trimming values specified for jobs with square fold and 2-at-center stapling are ignored by the printer. Make sure that you set the trimming values directly on the printer. -------- Notes on the Help System -------- - If Help (F1) displays a blank page in the browser, shut down the TotalFlow Prep Service and close the TotalFlow Prep application. Restart the TotalFlow Prep Service and then the TotalFlow Prep application. -------- Notes on Input Trays -------- - If the printer does not use the input tray specified in TotalFlow Prep, you can try one of these solutions: For printers with RICOH controllers, make sure that the [Tray Switching] and [Extended Auto Tray Switching] options are disabled. See the printer documentation for more information. For printers with EFI Fiery controllers, make sure that the paper selected in TotalFlow Prep matches the paper loaded in the tray: - If the controller matches papers based on attributes, the size, weight, and type attributes specified for the paper in TotalFlow Prep must match the size, weight, and type of the paper loaded in the tray. The catalog ID specified for the paper in the job ticket is not taken into account. - If the controller uses a catalog ID to match papers, the catalog paper specified in TotalFlow Prep must match the catalog paper loaded in the tray. See the printer documentation for more information. -------- Notes on the Browser Version of TotalFlow Prep -------- - Make sure that you disable content-filtering and ad-blocking extensions for the TotalFlow Prep Web page. - If you configure RICOH TotalFlow Print Server to launch an external TotalFlow Prep server for editing jobs, make sure that the TotalFlow Prep version is 4.2.3 or later. Previous versions of TotalFlow Prep are not supported. -------- Notes on Perfect Binding -------- - Perfect binding is supported with the EFI Fiery controller option only when the printer language is set to [PostScript]. - These settings do not work for perfect bound jobs with a printed cover: - Paper, tray, printing side, and staple exceptions - Inserts - Tabs - Slip sheets and designation sheets - Some printers with RICOH controllers do not support the combination of a one-sided job and a two-sided perfect bind cover. For more information, see the printer documentation. - If you change the job printer and the paper set for the perfect bind cover is not available in the paper catalog of the new printer, a custom paper with the same properties is used instead. However, a warning message is not displayed. - When you open a perfect bound job created in an older version of TotalFlow Prep, a preprinted perfect bind cover is added automatically. Any front and back covers specified in the job are converted to normal PDF pages. - Perfect bind covers cannot be saved or applied as part of job presets. - The [Reader view] displays the perfect bind cover correctly only if the open direction of the job is open to left. The preview always shows the [Cover wrap position] setting as [Centered]. - When you trim a perfect bound job, the specified trimming values are applied differently depending on the printer. For printers with RICOH controllers, the trimming values are applied based on the job paper. For printers with EFI Fiery controllers, the trimming values are applied based on the cover paper if the cover extends beyond the printed sheets or based on the job paper if the sheets protrude from under the cover. - After you create the cover in [Cover Builder], you can continue to make changes to the cover pages and then click the [Create Cover] button again to recreate the cover. If you only modify the order of the pages, the [Create Cover] button is not enabled. To enable the button, you must also make other changes. - If a job has perfect binding and trimming settings specified, when you try to remove the perfect binding setting, the dialog box for solving conflicts is displayed. If you click [Cancel] in the dialog box to keep the current settings and then manually reset the [Trim] setting to [Use default], the perfect bind cover is removed from the job. To solve the problem, select [Use default] under [Binding], and then reselect [Perfect Binding]. - Tray exception settings are not supported by perfect binding jobs. - Tab function is not supported by perfect binding jobs. -------- Notes on Printing Only the Color Sheets and Loading Them in the Interposer Tray -------- - The tray exception cannot be applied on existing exception sheets such as tabs, covers, designation sheets, slip sheets. - The exception to the interposer tray is not supported when a special sheet such as tab, cover, designation sheet, slip sheet or insert is set to pull from the same interposer tray. Use a different interposer tray from the tray exception. - When you select the color sheets and you print them, select [Face-down in a reverse order] under the [Eject Output] feature. This ensures the sheet order when the color sheets are placed in Plockmatic Large Capacity Tray (LCT) on the black and white printer. When placing the sheets on the black and white printer, set [Face-down] under the [Eject Output] feature. - When you switch to a black and white printer with a large capacity interposer tray, and you select [Slip sheets - print contents of previous sheet] under the [Slip sheets] feature from the [Sheets] panel, the printed content of the slip sheets might not be correct. - When the target printer is black and white, you cannot select color sheets. - The tray exception does not print a job for 2-sided jobs with 1-sided page exceptions or for 1-sided jobs with 2-sided page exceptions. - You cannot select a job with 2-sided jobs with 1-sided page exceptions or with 1-sided jobs with 2-sided page exceptions. - When you select the color sheets, make sure there are no interposer tray exceptions on any of the color sheets. -------- Notes on Using Windows Printers -------- - Make sure that the printer you want to add is configured correctly in Windows and uses a printer driver compatible with the Windows V4 Print Subsystem. For examples of supported drivers, go to http://support.ricoh.com/bb/html/dr_ut_e/rc3/model/p_i/p_i.htm?lang=en. - If you use a universal driver, make sure that the correct printer model is recognized after the installation. If the specific printer model is not selected correctly, set it manually. From the printer settings tab in Windows, go to [Printing preferences] → [Configuration/About] → [Printer properties] → [Accessories] and select the correct printer model. - We do not recommend using the Microsoft XPS driver provided by Windows as it might cause some characters to be printed incorrectly. - Only job level settings are supported for Windows printers. Page level settings, such as paper exceptions, tabs, tray exceptions, color/black and white exceptions, 1-sided/2-sided exceptions, and stapling subsets are not currently supported. - All possible installable options are displayed in TotalFlow Prep, not just the options that are installed on the printer. As a result, input trays, output trays, and finishing options that are not installed on the printer are available for selection in TotalFlow Prep. Go to the RICOH Windows Printer Mapping screen and make sure that you disable the finishing options that are not available on the printer and remove mappings for the trays that are not installed. - If you receive a paper type or paper size error from the printer, verify the mapping for paper type on the RICOH Windows Printer Mapping screen. If a printer-specific attribute that corresponds to the paper type is available, change the mapping to that attribute instead of the default attribute. To avoid any issues, you can also specify the paper size and input tray instead of selecting a paper type when you edit the job in TotalFlow Prep. - There might be terminology differences between TotalFlow Prep and the printer driver. For example, the paper type "Synthetic" could be called "Artificial" in the printer driver. - Some paper colors, such as "Red", might not work because the printer driver does not have the equivalent color defined. - The mirroring function is not currently supported. - Some settings do not work properly when you use the default attribute mapping from the RICOH Windows Printer Mapping screen. If the printer driver also defines a printer-specific attribute of the same type or of a similar type, change the mappings to use the printer-specific attribute. For example, paper type settings might need to be mapped to printer-specific attributes. - If you upgrade the printer driver after you add the Windows printer in TotalFlow Prep, you must delete the printer from TotalFlow Prep and recreate it. Or, you can use a different name for the new printer driver and a different printer name in TotalFlow Prep. - Perfect binding is not currently supported for Windows printers. Perfect bind finishers are not available through the generic binding options. - The device status might not update as expected. The Windows Print Subsystem might not update the printer status correctly until certain events occur, such as: - A job is submitted. - There are changes to settings. - The printer is set as default. - Some PDF files might not convert to XPS successfully. A PDF file with transparent objects might fail to print on a Windows printer due to an unsuccessful conversion from PDF to XPS. Try optimizing or flattening the PDF file to remove the transparent objects. - Additional finishing edges might be available in TotalFlow Prep but they might not be supported. When you map a finishing option, for example Punch on Left, all the finishing edges are available in TotalFlow Prep since they are added as a group. Make sure that you only use the edges that are mapped for that finishing option. - The [Use default] option available in TotalFlow Prep might not work as expected. Make sure that you set the specific options and values that you want to use instead of selecting the [Use default] option. - IMSS catalog papers from printers with RICOH controllers cannot be used because the paper catalog capabilities cannot be retrieved. Set the paper properties manually. - For RICOH printers, trays named Tx, such as T1, T2, T3, or T4, are usually the highest tray numbers assigned on the printer. For example, on one printer model tray T1 could be mapped to Tray3, while on another printer model tray T1 could be mapped to Tray7. The mapping depends on how many other numbered trays are supported by that printer model. - The RICOH Windows Printer Mapping screen is currently available only in English. -------- Other Notes -------- - Page and Size Limitations Use this application within the following limits: * One job can have a maximum of 2 GB. Note: Very large pages might not load correctly in the preview. * One job can have a maximum of 100 chapters. * Maximum number of editable jobs at the same time is 10. * Maximum number of available undo operations is 15. * Maximum number of custom papers is 500. * Maximum number of tab stock presets is 25. * Maximum number of presets is 25. * Maximum number of hot folders is 25. * Maximum number of printers is 20. * Maximum number of pages in light table stack is 30. - The performance of the application depends on several factors, including the number of pages and the size of the job file, the system performance, and the overall load on the system. - We strongly recommend that you back up regularly all configuration information of this application. We are not responsible for any loss of nor damage to your configuration information. - If you have already specified finishing settings for the job and you change the paper size, some of the finishing settings might be removed. Check the finishing settings in the workspace preview and, if it is necessary, correct the paper size and set finishing settings again. - When you work with very large jobs, it might take a significant amount of time to perform [Insert blank page], [Copy], [Insert new pages], etc., compared with other functions that change the page layout. - When you add a new preset with the [Save job as preset] function, you cannot select a network folder as [Output folder] for the [Save as print job] and [Save as PDF] options on the [Save preset] screen. The [Output folder] must be a local folder that can be accessed by the Windows service. - When you choose "black" from the color palette for masks or for header and footer text, for example, the color might not change to "black". If this happens, choose another color first and then choose "black". - An HTTP error has occurred (101012, 101055) When TotalFlow Prep sends jobs to TotalFlow Production Manager, the system load increases temporarily and an HTTP error might occur. Send the jobs again when the system load decreases. - Valid printable area The valid printable area depends on the device, device settings, paper size, and datastream type. Images that are close to the edge of the sheet do not print outside the valid printable area, even if they appear in the preview on TotalFlow Prep. For example, this might happen when you print on the tabs of inserted tab stock. Try increasing the printable area in the printer settings. - Extra page definitions remain in the ticket in some situations When defining an exception page, the original page size might remain in the job ticket. To schedule the job, the target printer must have the original paper size available even though it is not needed for actual printing. - Workflow with TotalFlow Production Manager When it is started from TotalFlow Production Manager, TotalFlow Prep might not preserve the open orientation in the JDF file. - Unsupported paper color values in TotalFlow Production Manager If you submit a job with an unsupported paper color value to TotalFlow Production Manager, the paper color changes to [Not set]. Adjust the paper color settings as necessary. - [Apply settings to PDF and remove from job ticket] If the [Apply settings to PDF and remove from job ticket] check box is selected, the settings are applied to the PDF file and removed from JDF. For example, if four pages are imposed on a sheet, a 4-up PDF file is created and 1-up is specified in the JDF file. - Adobe Photoshop Elements to edit an image To edit an image using Adobe Photoshop Elements, specify "PhotoshopElementsEditor.exe" in the [External programs] tab on the [Preferences] screen. The communication with the program might not work properly if you specify instead Photoshop Elements X.0.exe, where X.0 is the program version. - If the TotalFlow Prep service is stopped and then restarted while the user interface is running, the error message "Failed to connect with the server. (2000000001)" might be displayed. Close the user interface and restart it to fix the problem. - [Save] option from an external program When you save a file from an external program, make sure that you use [Save], not [Save As], from the external program to avoid changing the file name and file extension. - Processing multiple jobs and the 2000013101 error message An error stating that another instance of TotalFlow Prep is already running [Error: 2000013101] might be displayed if you open a job from Windows Explorer while another job is still loading in TotalFlow Prep or if you submit several jobs to a hot folder at the same time. Restart TotalFlow Prep to fix the problem. - When the specified paper size falls within the range of -5 point to +5 point of the standard paper size, the paper is displayed with the standard paper size, such as A4(210 x 297mm), B4(257 x 364mm), Letter(8.5 x 11). - When you apply an overlay to an original document with mixed paper size, the mask object is scaled according to the paper size, while the size and aspect ratio of the text and image objects are not modified. - When several hundred jobs are submitted for printing, the [Alerts] panel might not display the states of the jobs accurately. To fix the problem, close and reopen the [Alerts] panel. - When you set a staple subset using the [Subset finishing] function, the options that are not compatible with the current job settings are not marked with a red dot as they are in the [Finishing] panel. If you select an incompatible option, the dialog box for solving conflicts is displayed and you can use the provided information to adjust the job settings as required. - When a job enters the retain phase in TotalFlow Production Manager after it is printed, the state of the job changes from [Printing] to [Preparing to print] in the [Alerts] panel in TotalFlow Prep. - When you change the job printer, any papers from the paper catalog of the printer are preserved in the job settings if a paper with the same name, size, type, and color is available on the new printer.
