Hard disk: 10GB or more free space on the System Drive. 100GB or more free space for 1 to 5 printers(*1) 200GB or more free space for 6 to 15 printers(*1) (*1) Printer means a distinct printer IP or host name. Network: * Ethernet LAN adapter (at least 100Mbps, wired LAN recommended) * TCP/IP protocol Associated Install the necessary supplemental applications Applications: before accessing the user interface of this application: * Web browser (any one of the following): On Microsoft Windows OS: - Mozilla Firefox 130 (see note) - Google Chrome 129 (see note) - Microsoft Edge 129 (see note) Note: The above system requirements are based on the verification results in our company. They do not guarantee the performance in every cases. --------Supported Devices------- - TotalFlow Production Manager connects with devices with EFI Fiery and RICOH controllers through Printer Connector. For the full list of supported devices and specific device information, see the Printer Connector Readme file located under the Printer Connector directory. By default, Printer Connector will be installed in C:\Program Files\RICOH\Printer Connector. --------Notes on devices---------- - For RICOH Pro 8100S/8110S/8120S with EFI Fiery controller option, if the user sets [Tab width] and [Tab collation order] paper properties in EFI Create paper dialog, those values will not be displayed in the [Properties for Paper] dialog window in TotalFlow Production Manager. - With all devices, Back side print option is only available for the job's last page. For the rest of the pages, use Front side or Both sides print options - For Windows printers: - Make sure that the printer you want to add is configured correctly in Windows and uses a printer driver compatible with the Windows V4 Print Subsystem. - If you use a universal driver, make sure that the correct printer model is recognized after the installation. If the specific printer model is not selected correctly, set it manually. From the printer settings tab in Windows, go to [Printing preferences] → [Configuration/About] → [Printer properties] → [Accessories] and select the correct printer model. - We do not recommend using the Microsoft XPS driver provided by Windows as it might cause some characters to be printed incorrectly. - All possible installable options are displayed in TotalFlow Production Manager, not just the options that are installed on the printer. As a result, input trays, output trays, and finishing options that are not installed on the printer are available for selection in TotalFlow Production Manager. Go to the Ricoh Windows Printer Mapping screen and make sure that you disable the finishing options that are not available on the printer and remove mappings for the trays that are not installed. - If you receive a paper type or paper size error from the printer, verify the mapping for paper type on the Ricoh Windows Printer Mapping screen. If a printer-specific attribute that corresponds to the paper type is available, change the mapping to that attribute instead of the default attribute. To avoid any issues, you can also specify the paper size and input tray instead of selecting a paper type when you edit the job in TotalFlow Production Manager. - Only job level settings are supported for Windows printers. Page level exceptions, such as paper, finishing, and printing side exceptions, are not currently supported. - There might be terminology differences between TotalFlow Production Manager and the printer driver. For example, the paper type "Synthetic" could be called "Artificial" in the printer driver. - Some paper colors, such as "Red", might not work because the printer driver does not have the equivalent color defined. - Perfect Bind finishers are not currently supported through the generic binding options of Windows printers. - Some settings do not work properly when you use the default attribute mapping from the Ricoh Windows Printer Mapping screen. If the printer driver also defines a printer-specific attribute of the same type or of a similar type, change the mappings to use the printer-specific attribute. For example, paper type settings might need to be mapped to printer-specific attributes. - If you upgrade the printer driver after you add the Windows printer in TotalFlow Production Manager, you must delete the printer from TotalFlow Production Manager and recreate it. Or, you can use a different name for the new printer driver and a different printer name in TotalFlow Production Manager. - You can find a list of supported drivers that are compatible with Windows V4 Print Subsystem here: http://support.ricoh.com/bb/html/dr_ut_e/rc3/model/p_i/p_i.htm?lang=en - Device status may not update as expected. - Some PDF files may not convert to XPS successfully. - Perfect Bind is not supported - Device status may not update as expected - A PDF with transparent objects may fail to print - Additional finishing edges may be available in product UI but not supported - The “Use default” value seen in product may not have desired result - I MSS catalog papers cannot be used - Tray named T1, T2, T3, T4 tends to be the highest tray numbers assigned on the printer. - The Ricoh Windows Printer Mapping user interface is currently available only in English. --------Notes on installation/uninstallation-------- - Please make sure that only the following characters are used in the install path for the installation: English lower case characters a-z English upper case characters A-Z Numbers 0-9 Period character . Hyphen-minus character - Underscore character _ Backslash character \ Parenthesis characters () Space character - Account for installation To install this application, you must have administrator privileges, which means you must belong to the Administrators group. - Whenever you install a new version, make sure you run the installation process from the same user account with administrator privileges that you used when you first installed the application. - Do not put any user data into the destination folder to install this application. If you put any data in there, when you cancel to install or uninstall this application, the user data might be removed. - A part of the error message might be truncated and displayed if there is not enough temporary disk space on the hard disk where the installer writes a file. In this case, select another hard disk or cancel the installation. - If the activation does not complete after 40 minutes or more during the installation, please follow these steps to reinstall this application: (1) Open the Windows Task Manager. (2) Select "TotalFlow Production Manager" from the Applications list and click [End Task]. (3) Go to the Windows Control panel and open Add or Remove Programs to see whether TotalFlow Production Manager exists in the program list. If you find it, uninstall TotalFlow Production Manager. (4) Remove all the files and folders that are included in the install folder or data folder. The default folders are: Install folder: :\Program Files\RICOH\TotalFlow PM Data folder: :\aiw (5) Restart Windows. (6) Launch the installer and start to reinstall this application. - When you update the Windows OS version of the computer on which this application has been installed, follow these steps: (1) Back up the necessary data (for jobs and settings). (2) Uninstall this application. (3) Update the version of the OS. (4) Install this application. (5) Restore the necessary data. - When you migrate your data to a new operating system, make sure you first back up your data on a 3.1 or higher version of TotalFlow Production Manager. Do not perform any action on the destination machine before the migration is complete. Follow the instructions in the TotalFlow Production Manager Setup Guide to do the migration. - The backup and restore actions can be done on the same operating system architecture or from 32-bit to 64-bit operating system architecture. - The migration from versions earlier than 3.1 of TotalFlow Production Manager to TotalFlow Production Manager 4.3 on all supported operating systems for TotalFlow Production Manager 4.3 release is not supported. In order to upgrade from versions earlier than 3.1 to 4.3, upgrade to 3.1 first. - Migration is supported from TotalFlow Print Manager to TotalFlow Production Manager and only on the same operating system architecture or from 32-bit to 64-bit OS. - TotalFlow Production Manager can be installed over TotalFlow Print Manager. - When you install this application, the anti-virus software may display a warning message. In this case, see the instructions provided by the anti-virus software vendor. - The installation of this application is supported on New Technology File system (NTFS) and Resilient File System (ReFS) drives. - For TotalFlow Production Manager to install and work properly, the computer where you install it must be connected to a network. - After TotalFlow Production Manager is installed, do not delete any of the supporting applications that are installed with it. Here is a list of such applications: - Microsoft Visual C++ 2008 Redistributable -x64 9.0.x - Microsoft Visual C++ 2008 Redistributable -x86 9.0.x - Microsoft Visual C++ 2010 x64 Redistributable 10.0.x - Microsoft Visual C++ 2010 x86 Redistributable 10.0.x - Microsoft Visual C++ 2012 Redistributable -x86 11.0.x - Microsoft Visual C++ 2013 Redistributable -x64 12.0.x - Microsoft Visual C++ 2013 Redistributable -x86 12.0.x - NET Framework 4.x.x - RICOH Printer Connector -------- Notes on input files ---------- - The data format supported depends on the printer model. * Job Ticket Printer: PDF (PS and PCL can also be input through a workflow that contains a Transform activity) * Passthrough printer: PDF, PS, PCL, TIFF, other data formats supported by the printer device (The printer device must support printing with the lpr command.) - Do not use the following characters in input file names. If you do, either the file cannot be submitted as a job or the job name cannot be displayed. ${ ` ~ ! = ; ' - When you upload files for submission or transform operations, you must have 10 GB free space on the System Drive, plus three times the uploaded files size. - When you modify job properties in TotalFlow Production Manager Job Submission the staple subset setting cannot include inserts. -------- Notes on hot folders -------- - If you remove a folder that this application specifies as a hot folder, this application recreates the hot folder when the hot folder is next polled. If you want to remove the hot folder, clear the hot folder property before removing the folder. - There is a limit on the maximum length for a file name that can be submitted to a hot folder. The total number of bytes of a path string that includes a hot folder path string, a delimiter character (1 byte), and a file name submitted is up to 213 bytes. (The following characters are calculated as follows: English one-byte characters as 1 byte, all the Japanese characters including one-byte Katakana as 3 bytes*, and accent characters such as Umlaut as 2 bytes) * Some characters are 4 bytes (Part of JIS level-3.4 kanji set in JIS X 0213) - These characters are not valid in names of jobs submitted with hot folders: ! " ; ' < = > \ ` ~. -------- Notes on the screen display -------- - Please maximize browser window size when using this application. Problems such as the truncated display of the job properties dialog may occur if the browser window size does not fit to the necessary displayed range. In this case, resize the window of the browser to the maximum size and switch the displayed screen. - If paper size for a job is not a size that lets the user properly set punch or staple, some punch holes or some staples are not correctly previewed on the job properties dialog. - It may take up to 30 seconds to reflect the [Queues] screen after deleting jobs, moving jobs, adding a paper change, or deleting paper change. - In this application, Yen mark is displayed as Backslash. - The screen might not be displayed properly if a browser was forced to terminate or if abnormal OS termination occurred while a user is using the application. Problems such as the job search not being performed properly or the screen not being displayed correctly later on may occur. In that case, clear the browser cache. - Use the same font environment in both server and client PC when you use this application. Otherwise, the name of a job submitted from the client PC might get garbled on the server PC. When this happens, if the job is printed with a separator page, the job name printed on the separator page is also garbled. - Refreshing browser screen may take a long time depending on the number of jobs that have been registered in the system. - When previewing Tab stock, there is a difference between the tab that is displayed in the preview and the actual printout. - Report screen supports display of up to 10,000 records. If the number of records that match current search criteria exceeds the maximum number, only the first 10,000 records are displayed. In that case, you can view all the information by exporting (saving) the report. - If the Preflight Report PDF is not displayed correctly with Google Chrome, use the latest version of the browser. The PDF viewer of older versions might not handle reports correctly. - When a job is opened for preview from Print again dialog on Chrome browser, the Zoom drop down list does not show the values correctly. Please use Zoom In/Out buttons to change the display size instead. - On some browsers or on some versions of browsers, a job that was closed by clicking the X button on the top right corner of the dialog cannot be opened again. To avoid this behavior, use the [Close] button that is displayed at the bottom right corner. -------- Notes on paper -------- - The only paper sizes that can be specified as tab stock in this application have a long edge less than 13 inches. - The search function in the Paper Library in Job properties searches for a paper that matches specified character strings for the Name, Input tray, Description, Size, Type, Weight, and Color attributes. It does not check that the attributes under Advanced match. - When using EFI Fiery controller option to create a paper catalog, the EFI Fiery controller must support acquisition of paper information via JDF and the JDF function must be enabled on the printer. --------Notes on passwords ---------- - The password that has been set for a user who logs into TotalFlow Production Manager for the first time is a temporary password. Users have to change the temporary password to a password of their choice when they first log into TotalFlow Production Manager. Also, if an administrator resets the password, the new password is a temporary password. - If administrator changes the "Maximum password age before expiration" of the server before an existing password expires, the new password expiration date is counted by adding the maximum password age changed to the date when the password was last set, and that will be the new expiration date for the user. --------Notes on update -------- - Before applying the update, back up any data that you want to save to avoid any data loss. - The time required for Backup or Update depends on the volume and number of jobs. When TotalFlow Production Manager has many jobs or large size jobs, it is recommended to perform Backups and Updates, such as deleting unnecessary jobs, periodically. --------Note on reports -------- - The reporting feature of TotalFlow Production Manager provides the best information available and should not be considered perfectly accurate at all times. Because the data collected is based on printer information, it might be incomplete, or might not reflect exact times. --------Notes on the configurable settings -------- - In order to prevent the overcrowding of jobs on a workflow when the [Move Job] action occurs, you can configure the [AssignTimeout] variable to allow more time for jobs to move before getting into [Error] state. To set the new timeout value, go to: :\aiw\aiw1\config\configurables.properties. By default the [AssignTimeout] value is '600' (10 minutes). To set the new timeout value, change the AssignTimeout value to the number of seconds you need. Save the file, then restart the TotalFlow Production Manager service. --------Other notes -------- - Page and Size Limitations Please use this application within the following limits: * One job can have a maximum of 1000 pages. * One job can have a maximum of 2GB. * One job can have a maximum of 1000 exception settings. * The system can have a maximum of 2500 retained jobs. * 600 jobs (including 150 paper change instructions) can be active at the same time. * The maximum number of printer devices: 15 devices (*1). * The maximum number of workflows: 25 workflows. * The number of the users who can log in at the same time: 5 users. (*1) Printer means a distinct printer IP or host name. - When paper size is A3 or Tabloid, the options Fold Type = "Letter fold-out” and Fold Type = “Fold sheets together” cannot be specified together. - Z-fold and Z-fold (large size paper only) settings cannot be specified when paper orientation is [Portrait] and [Open Orientation] is [Open to left] or [Open to right], or when paper orientation is [Landscape] and [Open Orientation] is [Open to top]. - It is possible that punching on top edge of short edge feed paper may be allowed in this application but not allowed at a particular printer. - Back up regularly We strongly recommend that you back up all configuration information of this application regularly. We are not responsible for any loss of or damage to your configuration information. - When the size of the disk space for computer HDD where the application has been installed falls below 10GB, the workflow is disabled and a message is displayed. Enable the workflow after increasing the disk space to more than 10GB. - If you change the default file name when you export objects from the server, make sure to add the extension of .xml to the file name to export. You are not allowed to import a file that has an extension other than .xml when you import the object. - The Summary ticket view can be saved in html format. If you specify a file name, make sure to add .html as the extension to the file name when you store the file. - If you want to delete a large amount of jobs at once, perform the deletion at Jobs pod in [Operations] screen. - The setting of [Binding edge] in Job Properties is saved if one of the following finishing options is selected: 1-staple, 1-staple slant, 1-staple horizontal, 1-staple vertical, 2-staple, 2-staple at center, Perfect binding, Ring binding, 2-hole, 3-hole, 4-hole, 4-hole NE, Ring punch, Multi holes, Z-fold, Z-fold(large size paper only). The setting of [Binding edge] will not be saved if an option other than the above is selected and the setting returns to the default, "Left". - If [Perfect binding] is set in Job Properties, do not use Tab insertion option. - Tray exception settings cannot be used for printers with EFI Fiery controllers - The Total sheets value in Jobs pod indicates the total number of sheets of the job. Setting a page range in Job Properties Editor for printing does not change the value of Total sheets. - The PDF output will be oriented 90 degrees counterclockwise compared to the Job Properties Editor preview image, if [Paper orientation] is landscape, [Open orientation] is set to left, and one of the supported finishing settings is selected. - If a user enters the maximum number of characters for a setting item in Job Properties by using Japanese characters (two-byte characters and one-byte Katakana), the user can enter one less than the maximum number of characters. - TotalFlow Production Manager supplies two workflows as sample workflows in addition to default workflows created at the installation. They can be used by importing the following file: :\aiw\aiw1\resources\Additional_Workflows.xml The additional workflows that can be added are as follows. Only English description is displayed for these objects. * Prep and Print Workflow that includes TotalFlow Prep, Preflight and Approve activities * Transform and Print Workflow that includes Transform to PDF, Preflight and Approve activities - If, for any reason, TotalFlow Production Manager server is shut down while it is processing jobs, the jobs might behave inconsistently when the server is turned on again. - The following settings are only available for TotalFlow Print Server printers: Color except for Color/Black and White Print Quality Watermarks Header/Footer Font substitution Printer preset Any effects of these settings are not displayed in the job preview. * Microsoft, Windows, Windows Server, Microsoft Edge are either registered trademarks or trademarks of Microsoft Corporation in the United States and/or other countries. * Adobe, the Adobe logo, Acrobat, the Adobe PDF logo, Distiller and Reader are either registered trademarks or trademarks of Adobe Systems Incorporated in the United States and/or other countries.
