Working with Jobs

In RICOH TotalFlow Producer, depending on your subscription type, you can submit jobs or orders that contain one or more files. Then you can send the jobs to other applications.

If you have a RICOH TotalFlow Producer Base subscription, you can submit PDF jobs.

If you have a RICOH TotalFlow Producer Advanced subscription, you can submit jobs and orders and you can send them to other applications such as Preflight, Hot Folders, or Printers.

The Advanced subscription also includes the Office Conversion feature, which converts Microsoft Word, Excel, and PowerPoint files and supported image formats to PDF.

  1. Submitting Jobs
    RICOH TotalFlow Producer Base lets you and your customers submit PDF jobs.
  2. Manually Converting Microsoft Office Files and Images to PDF
    Office Conversion is an additional BETA feature available with RICOH TotalFlow Producer Advanced and Trial subscriptions. It allows RICOH TotalFlow Producer to convert Microsoft Office files and supported image formats to PDF, either automatically during job submission or on demand. Job managers can also manually convert individual Microsoft Office files or images to PDF.
  3. Preflighting Jobs
    Preflighting is the process of checking PDF jobs before printing to make sure that the files are compliant with the PDF quality requirements.
  4. Modifying PDF Files
    With a RICOH TotalFlow Producer Advanced or Trial subscription, you can use the PDF Editor feature, which lets you edit PDF files before sending them to production. Only users with Job Manager access can edit job files.
  5. Managing Job File Versions
    You can restore, download, or delete previous versions of a file that was modified by the Preflight or Office Conversion actions, either manually or automatically.
  6. Viewing Job Status
    You can see the status of the jobs in the Jobs table.
  7. Changing Job Status
    For a more accurate management of the jobs, you can manually change the job status displayed in the jobs list.
  8. Viewing the Job File
    You can view a job PDF file in RICOH TotalFlow Producer or you can download the job PDF file and view its content offline. Users with Submitter role can view only the files in their own jobs.
  9. Modifying Job Information
    Depending on your user role, you can modify the job properties and special instructions in the Edit Job or the Edit Order dialog.
  10. Editing Job Properties
    With a RICOH TotalFlow Producer Advanced or Trial subscription, you can use the Job Properties Editor to specify various settings for PDF jobs, including layout, paper, finishing, and fifth station settings. You can also configure covers, slip sheets, and exception pages. All the changes are shown in real time so that you can preview the final output.
  11. Deleting Jobs
    You can delete jobs from the Jobs table.
  12. Finding Jobs or Orders
    You can filter jobs or orders by any of their properties.
  13. Sending Jobs to Hot Folders
    You can send jobs to hot folders previously defined in Account Administration.
  14. Sending Jobs to Printers
    You can send jobs to previously defined printers and follow the printing progress.
