Adding Notes and Comments to a PDF File

PDF Editor lets you add various types of notes and comments in PDF files.
To insert a note in the PDF file:
  1. Open the RICOH TotalFlow ProducerJobs table.
  2. Right-click the job and select Edit PDF...
    PDF Editor opens.
  3. Scroll through the PDF down to the page where you want to insert the note.
  4. To add a note:
    1. Place the cursor where you want to add the note.
      A new options bar is displayed below the main toolbar.
    2. Select a box color and a note symbol.
    3. Type the note content inside the box.
    4. To delete a note, click the note, then click the Recycle Bin icon on the right end of the options bar.
  5. To insert a note with a shape:
    1. Click , the Add Shape icon.
    2. Select one of the available shapes, such as line, arrow, rectangle, cloud, etc.
      A new options bar is displayed below the main toolbar.
    3. Select all the options necessary to define the shape properties.
    4. Use the mouse to apply the shape on the PDF page.
    5. To add a note with the shape, click , the Add Note icon, on the right end of the options bar.
    6. To delete a shape and the note attached, click the shape to select it, then click , the Recycle Bin icon on the right end of the options bar.
  6. To add a note to a highlighted text:
    1. Select the text you want to annotate.
      A menu is displayed with options to highlight, strike through, underline, squiggly underline, or redact:
    2. Select a highlighting method.
    3. Click the highlighted text, then click , the Add Note icon, on the right end of the options bar.
  7. To add a comment to a highlighted text:
    1. Select the text you want to annotate.
      A menu is displayed with options to highlight, strike through, underline, squiggly underline, or redact:
    2. Click , the Add Comment icon.
    3. Type the comment, then click outside the comment box.
    4. To edit or delete the comment, click the comment symbol in the PDF, then click , the More options icon in the right top corner of the comment box.
    5. To edit the comment, select Edit Content and type new text.
    6. To delete the comment, select Delete.
